Community Transport booking system - "Dial-a-Ride"

The product is designed for Community Transport operators to handle all daily operations simply. Easy to use and learn, it reflects your current working methods. Developed by working with existing Community Transport schemes, it deals effectively with all the actual situations that occur. The product is loosely named Dial-a-Ride Booking System but includes many other features as well, as are described below.

The product represents many years of development, and experience of working with our customers, and is easily adaptable for your business, so you can be working with the system quickly and efficiently.

All screens have standard layout so that staff who are new to the system soon become proficient in using it. The system works well for rural or urban operating areas and caters for all types of bookings with ease.

Customer / Membership sub system

This including wheelchair requirements, disability categorisation, and usual destinations. Customer information can be accessed either by membership number, surname, or other searches, in all parts of the system.

Journey Booking

When a journey is being booked, the system automatically shows what other journeys have already been booked on the day (and summarises vehicle requirements), so you can see "at a glance" the possibility of taking a booking at the time requested. The system keeps journey start and regular destinations for each member to help speed up the booking process. For booking purposes, estimating the amount of time that a journey will take is straightforward, as is opting to use the same vehicle as an already existing booking. It is, of course, possible to amend or cancel bookings after they have been made.

Regular Bookings

This allows for booking multiple journeys for a Member or Group over any future period

To save the time consuming extra work in entering each individual journey for members who make the same journeys on a regular basis, the system allows for Regular Journeys.

It is then possible to book a number of regular journeys automatically by just entering a start and finish date plus any Exception dates when travel is not required, and the system does the rest.

To amend / delete individual bookings this can be done by using the Amend/Cancel or the Booking Report functions for deletion or amendment en bloc.

Vehicle Allocation

A list of all bookings for one day can be displayed using different sort orders, including items like estimated journey time required, wheelchair required, and time of any appointment deadline to be kept. The vehicle allocations, other details, including set fares, can be added or amended manually if needed. The system then produces the Drivers Work Sheet for a selected vehicle or all vehicles The format of work sheets can be adjusted to meet your own requirements.

Amendments and Cancellations

The system allows cancellations and refusal information to be kept by the system and reports can then be produced for statistical analysis or operational reasons

Booking Reports

A list of all bookings made by a member during any period can be retrieved quickly for display or printing. Selected future bookings displayed can be cancelled, and the system keeps cancellation information for statistics reports)

Statistics

The Statistics module is very flexible. AKM recognises that statistics reports required are important and the requirements will vary between customers. Therefore, AKM can change the system to produce statistics for the categories important for you or provide ad-hoc reports.

Statistics will be calculated for any period required, and will give totals for both number of passengers, and fares paid. In the above example statistics have been calculated depending on the Reason for Travel over a defined period

To calculate new statistics, the system requests a date period and the Type of Statistic required.

Additionally ad-hoc reports can be added to the system by using Microsoft Office, after first extracting the relevant data from the booking system database. AKM provides a standard report sample framework based on which users can produce their own reports: a basic training course can be booked with some of these tools provided in the cost of the course: to take away and use with your existing system.

BSOG - Bus Service Operators Grant

This module allows eligible mileage recording, fuel issue and claims reporting functions are available, the system reduces the manual work required and produces the claim reports in the approved format.

Group Transport and Voluntary Cars modules

These modules enable Group Transport bookings to be made with or without passenger pick up lists, or to handle Voluntary Car journeys, in addition to Dial-a-Ride minibus bookings. These optional modules can be tailored to meet your individual needs

Security and User Access:

This feature is used to control and for register user access to the Booking system, and to control the facilities: screens and reports each user is allowed to access.

Mapping functions

Location address verification and registration, display, and planning routes

By use of the system's optional address registration and mapping facilities the system can show the route between a particular pick up point to a destination, or optimise a route involving multiple pick ups. If a new journey is allocated the route can be re-scheduled manually or automatically using optimisation features.

The system displays planned picked up times for the route which can then be printed or, if required, the route can be modified to take into account any useful changes the route optimisation process has made.

Fares and Areas

The system has a number of different options for coping with Journey fares:

Using either one of the Mapping and PostCoder address location options the system calculates distances for derivation of fares.

The system has very comprehensive facilities for dealing with fare types. This part of the system is flexible enough to cope with most methods of fare calculation or can be adjusted easily to meet new or specific requirements easily. This may include flat or banded fares, concessionary fares, adjustments and booking or administration fees. When fare schemes change the resulting fare calculations can be adjusted to come into force whenever required.

Registration of locations

These may be member address locations, pick up points, or destinations. The system can identify a correct address, show variations if the address is not properly specified or contains incorrect data, and generally help to find a correct location and address. On selecting a specific address the system may identify that the address may need to be corrected, or it may then be displayed on a map for pinpointing the exact location required.

This is useful for locating a member's location, pick up point, final or intermeduiate destination.
